An affiliate is typically an organisation to which one or more clubs may belong, for example, a county level group that runs inter club leagues. Such an affiliate has limited access to users of MMM that have linked in to one or more of the affiliated clubs.
An affiliate may create their own MailChimp account and connect it with MMM from the Integrations tab in Manage affiliates. Having done so, a MailChimp "audience" (list) can be created and synchronised with MMM to contain all relevant members. The name and email of each user is given in the list along with five other key details:
- Current. This is a Yes/No field that tells us if the user is linked with at least one of the affiliates clubs. Normally this would be 'Yes' but when a user unlinks with a club, their entry is not physically removed from the affiliates MailChimp list - instead this field is set to 'No'. ManageMyMatch never removes an entry in the list - this is left up to the affiliate official to manage. It should be noted that a user may also unsubscribe from emails themselves using standard MailChimp protocols.
- Sports. The sports (Tennis, Squash, Badminton etc) that the user engages with at the club.
- Roles. The role the user plays at the club. If the user is linked in with more than one club the role played in each club is included. This allows filtering for people with specific club roles and will capture a user no matter which club that applies to. The role is inferred by matching certain keywords in the description of the role that the club has given to each club official, with options as listed below. If the user is not a club official the role is inferred from their membership status.
- Playing member - active, playing club member
- Social member - club member but does not play a sport
- Linked - user is linked to the club but is not a member
- Chairperson - club chairperson (Club official)
- Membership - club membership secretary (Club official)
- Juniors - responsible for club juniors (Club official)
- Teams - club team manager (Club official)
- Events - club events manager (Club official)
- Administration - club administrator (Club official)
- Other - any other club official (Club official)
- Clubs. The clubs to which the user is linked. Being linked to a club does not necessarily mean membership. Use the roles group to filter for membership. Note that due to limitations of the segmentation in MailChimp it cannot be explicit as to which role applies to which club should the user belong to more than one associated club.
- Ages. The age of the user in ranges as below. Note that there may be more than one range given. This will be the case if the member has family members without emails. Only users with emails are downloaded into MailChimp. This, by necessity, may exclude many young family members. By including the ages of family members we can capture segments (filtering) by age group and ensure the family head will be emailed as appropriate. However, only family members without an email are included (otherwise, they will appear as a separate user).
