Introduction

The default policy is for MMM to keep an entry in your Mailchimp audience list of every user that has ever linked to your club.

The reason for this is that you may wish to reach out to such people who had either at least expressed an interest in the club or even had held a membership in the past.

Normally, your mails would be targeted for members only. But you could also target a wider audience by selecting linked users - these are users who are still linked with the club and thus could be deemed as having an interest in certain club news. Lastly, there are those that are now not linked to the club at all - historical people. These people are also kept in your audience list should you wish to reach out to people who once were linked.

So when sending out mail campaigns you are careful to "segment" the targeted people based on Linked user or Current member, for example. See this article for full details.

However, the downside to this policy is that your audience list is forever growing and at some point you may hit limits imposed by Mailchimp due to your subscription level. At which point you need to either upgrade your Mailchimp subscription or elect to have MMM archive some of your contacts.

Archive option

You can opt to have MMM archive unengaged users to keep your Mailchimp audience to include just "engaged" people. By engaged we mean those that have a current or recently (within the last 10 months) expired membership or those that have linked with the club within the last year.

To opt in to this, go to the Setup tab of Manage club and choose the Integrations sub-tab. In the Mailchimp panel click on the option to Archive unengaged users.

Archiving does not happen immediately but is actioned the next time MMM synchronises your membership list with Mailchimp (generally once a day) or if you click the Synchronise now button.

You'll still have access to archived contacts in Mailchimp and you can even unarchive them selectively. But remember that while the option above is checked, any unengaged users will always get re-archived during the synchronisation process.
