Generally, ManageMyMatch charges you for courts and events when, or soon after, they happen. Not when you initially book or sign up. There are two reasons for this:
- Fees often depend on who else is participating and so are only known for certain at the time.
- Members frequently change their arrangements prior to the booking or event
In both cases, it could mean a plethora of reversing and adjusting transactions would need to be made which would then present a much more complicated history of what you actually did and paid for. So it's much simpler to wait until the time comes and then charge based on your actual situation.
Fees are always paid out of your club credit account, so you need to maintain a balance to service ongoing fees as they occur. If you do not have enough credit in your account at the time a fee is attempted, that's fine too: You'll be notified and invited to top up to allow the fee to pass. Or if you have auto-top up switched on (recommended) then the system will do it for you. Whilst you should maintain a positive club balance to fund these payments, you are also not pre-paying for services you have yet to utilise.
There are two exceptions to this pay-when-you-use policy:
- When buying a subscription. You will be asked to pay that at the time of purchase (unless paying monthly)
- When buying into an event that the club has explicitly requested pre-payment. Typically this would be for bigger ticket items like a coaching programme
In both cases, refunds are at the discretion of the club and can be made by them manually if necessary.
Otherwise, here's a list of what fees are charged when, so far as you as an individual are concerned:
- Court fees: A minute or two following the end of the booking
- Event fees, for example club night play or tournament participation: When the organiser deems the event complete - so generally soon after the event has finished
- Individual coaching fees (to your coach): A minute or two following the end of the booking
- Group coaching fees (to your coach): Early evening the day after the session
- Team practice sessions (to your captain): Early evening the day after the session
- Team match fees (to your captain): When the captain designates the match as complete
- Pay-monthly subscriptions: Between 10pm and 12pm on the day it is due (pays for membership a month hence)
You may be entitled to block book courts as a coach, group leader or with other privileges in certain circumstances, in which case charges are made as follows:
- Court fees for a group session, team practice session or team match fixture: Early evening the day after the session
- Court fees booked in the name of a group or team (but not linked to a member-participating session): Early evening the day of the session
- Court fees booked in the name of an event (as a designated booker): Early evening the day before the bookings. However, this may be adjusted by the event manager (a setting on the series) to be more days prior to the bookings, the same day or the day after. Normally, blocking booking courts is a privilege given that is discouraged from abuse and late cancellation by having them charged prior to the day of the booking.
The reason why group or team session/fixtures are generally delayed until early evening of the following day is to allow the group leader or team captain to add attendees that failed to sign up prior to the session.
