Overview
This event type exists simply to provide a named context under which to block out courts. By booking courts in the name of an event (as opposed to using Reservations under Manage courts) the system will record this as genuine court usage for management reporting. It also allows for the automation of bookings if necessary.
Once created through Next-gen, the quickest and easiest way to block book the courts is through the Block booking panel under My bookings - as the creator of the event, you'll have the option to choose this event for court bookings. Such bookings will not be charged.
In some cases it may be convenient to be able to speed-book for many days in advanced or even to have the system auto-book the courts for you. In which case a speed-booking court set will need to be applied after you've created the event
Setup
Normally done by a club official
- Menu Option New Next-gen event
- Filter on club, sport and name "Off-system"
- Click on relevant entry, enter the full period during which bookings are required and confirm
- Go to My bookings and choose the event under the Block bookings panel to book out courts
- If you require the same courts on specific week days for many weeks in advance you can:
- Go to Court sets tab under Manage courts and create a court set that represents the permitted courts for use - see this guide.
- Go to Events tab under Manage clubs, choose the Off-system event and:
- Add the court set under the Court sets for auto/speed booking panel
- You'll then be able to "speed book" up to 4 months in advance from My bookings
- If you wish to have the system auto-book these courts then tick the Auto block book courts continuously option within the Block booking capabilities panel in Manage series. Bear in mind that this only happens the day after the member booking horizon so you will have to manually book any courts before that point
