MMM can report on historic member attendance in various contexts. The goal of these reports is to provide insight on the popularity of various court activities as well as to answer specific questions regarding who was on court when.
Where to access the screen
The attendance screens are placed at various points throughout the system with the current context driving content. Specifically these points are:
- A tab in Manage affiliates. Attendance details are available for all types of activity that involve the affiliate; This would include all events for the affiliate as well as court activity of all clubs linked to the affiliate. It is the widest possible net to throw for court attendance analysis. For affiliate administrators only.
- Under the Courts section of Manage club. Attendance details are available for all types of activity that involve the club. For Club officials only.
- Under the Series tab of Manage events. Attendance details are limited to bookings made in the name of any past and present events created on the series. This may involve more than one club if the affiliate of the series is multi-club. For Event administrators only.
- Under the My attendance section of My history. Every player may analyse their past attendances for their linked clubs. For all users. There are 3 variants given:
- Attendance for the user only
- Attendances for the user and their family members
- Attendances for groups and teams the user leads/captains which would then include other group and team members. Unless specifically added, group leaders and team captains are not counted as attendants for sessions and fixtures.
- A tab in the specific members page in Manage members. Club officials may examine attendance figures for any specific linked user to the club. For Club officials only.
- For a team or group as identified under the Teams or Groups section of Hosted events. This allows club officials to analyse attendance figures for any club team or group. For Club officials only.
- In My groups and My teams. An attendance tab is available when reviewing a group or team giving details on attendance of past group sessions, team sessions and team matches. For group/team leader, captain & members. For leaders, captains and deputies the figures include all members of the group or team; Otherwise only data for the member concerned is available.
Configuration of the presented attendance figures
- Identify the time frame and how to group the analysis
- Analysis is always retrospective from a given date (default to today). Grouping can be done on a variety of periods (days, weeks, months etc) specifying either calendar periods of rolling periods. The total number of groupings can be given ranging from 1 to 12.
- What to summarise
- How to summarise the activity - 3 choices:
- By sport
- By type of activity (Match, session, solo booking etc)
- By activity context - a more detailed breakdown by each type of event
- What data to accumulate:
- Court hours spent
- Number of player/court attendances
- Split by membership status - a choice to split the analysis according to whether the player was a member or not at the time of the activity
- How to summarise the activity - 3 choices:
- Filtering. Depending on the content of the results you could filter the display by
- Type of activity
- By sport
- By event
- By team/group
Attendance display
With these choices having been made a grid presenting the accumulated totals is given with the period segments (dates) along the X axis and the activity type on the Y axis. Each box in the grid gives a single number that is either the total number of attendances or the total player attendance hours.
It should be noted here that an attendance is counted for each individual for each time. For example, if the same individual attended four 2 hour group sessions over the period then that counts as 4 attendances and 8 attendance hours.
Totals are given for both axes.
Drill-down capability
You can drill down on any number presented to pop up a screen that goes into the detail of that number. This screen presents the drill down in two ways
- By player. Every player involved in the attendance total is listed together with the number of times they attended. The attendance count may itself by clicked to show each date. The total number of players is also provided (this may well be less than the total attendances as some players may have multiple attendances).
- By date. Every day for which there was court activity is listed together with the number of players that were in attendance on that date. The player count may itself be clicked to show each player.
