Introduction
All club activities are covered by various types of events in MMM. These are summarised and presented to visitors at the Visitors centre under the tab Activities (having chosen the club).
This provides an immediate overview of regular or current events and bookings that may be of interest to a member or prospective members. However, the quality and accuracy of what's presented depends on due diligence in maintaining event details and schedules by the club.
The activities page shows both active events and events that you put on regularly throughout the year. Some events involve the booking of courts for group sessions like a coaching schedule. Bookings or schedules up to a month in advance are also presented.
This article covers the key areas that can make the difference between an informative summary or confusion!
We recommend reviewing what's shown every so often to check for accuracy and completeness.
Group your events
Only events that have been categorised into a group will appear. You need to be an event administrator to set (or unset) a group. You can set a group in Manage series within the first panel entitled Identifying information. MMM sets up 6 standard groupings as follows:
- Club - social play type events such as Club night
- Coaching - events involving coaching
- Friendlies - events involving self administered individual matches
- Leagues - Box leagues and ladders
- Socials - social events like quiz nights or exhibition matches
- Tournaments - events involving competitive play organised by the club
But you can change or add more yourself if you are an Event manager. An event manager is someone listed as an administrator for an affiliate (the table at the bottom of the Oversight page in Manage events will tell who these are). As an Event manager, go to Manage affiliates and choose the Events tab - there you can review, change and add event groups. Make the name snappy and you can use the description to explain better what the group covers (this will be presented on the visitors page).
Describe your events
For the activities listed, the better you describe your events the more meaningful they will be for visitors. For event administrators, we recommend paying particular attention to the following in Manage series (Full documentation on all settings can be found in this article):
- Identifying information panel:
- Name - short and punchy, don't include the sport name as this is automatically added
- Description - any further detail that will help people understand what's involved
- Group - as per above. Set it to blank (Select One) to exclude from the visitors page
- Timing indicators panel
- Ensure that what you type in Frequency of events and Give an indication of when events occur make sense when combined (yellow box below) and give a good and concise feel of when the event general happens
- Eligibility options panel
- Tick members only or non members only as applicable (or neither if it's open to all)
- Set the age restrictions, if any
Maintain your events
Make sure event organisers are setting appropriate dates for each event occurrence (Events tab of Manage events, details sub-tab) and are moving their events into the right stages at the appropriate times. You can get an overview of all current events and see any anomalies in this regard from the Overview tab of Manage events. For more details see this article.
