1. Create and check the event definition (the series)
As with any event, you first need a series to define it. If an "Exhibition match" series does not already exist (perhaps it does from the last time you had an exhibition match) then create a new one in Manage Series. Use this article to guide you on the details of this. If there is already a series, review the details to make sure it fits the profile of this exhibition match and especially review any fees associated with the event.
An exhibition match is a popular event that will most likely attract a fee and this can be set on the series - make sure you choose the pay up front option and explicitly choose your club to receive payment.
2. Create the date and venue of the event
Having created or identified the series, you can go ahead with creating the event in Manage events. Click the New tab and enter the date of the event (make the start and end dates the same assuming the match takes place on a single day). With the event set up and in the Pending stage you can modify and refine its details in the Details tab. Modify the start and end dates to show the actual start and end times of the match. Also be explicit about the venue and any brief details - maybe put in who the players are and anything else noteworthy - this helps people see more context about the match and shows the event in their personal calendars correctly.
Indicate that this is a ticketed spectator event. You'll then be asked what is the maximum number of tickets to be sold and how many each individual is allowed to buy.
Finally, move the event into Open stage when you want people to start buying your tickets!
3. Monitor, review and list tickets sold
You will see the total number of tickets sold for the event in Manage Events. People who buy tickets will be entered as joiners to the event. You can click through to Manage draws by selecting to review the joiners. You can review here who has purchased tickets and, on clicking the "i" for information button you'll see details of each person including how many tickets they bought. The export button also downloads a CSV file which will allow you to get an easy to use listing of all tickets sold by whom. This could be used, for example, as a check-off list when people arrive for the event.
4. Book out the courts
You'll want to book out the exhibition court (and any others). You can do this in the Courts tab in Manage events.
5. Set up the match
If you have a court side clock or display (or can video the match for live streaming), you'll want to set the match up. You can only do this once the event is In play stage (see point 6). For ticketed events, members cannot play matches under this event for themselves, even if the event is set to include match play - it is assumed that a match can only be set up by an organiser of the event. You can do this in My matches, where you'll be able to choose an event on which to Add a match. When adding a match the event organiser can nominate any player so you can choose the two match players here. But if they are guests and maybe do not have an account with ManageMyMatch you can set them up as guests at this point. Note: You can only do this if you are a club official.
When it comes to the time of match play, you can use the marking and videoing support that ManageMyMatch provides to nominate this match for either or both. The match need not be booked on any particular court. The bookings made on behalf of the event would suffice.
6. Event stages
Leave the event as created at step 2 in the Open stage so that members can sign up and buy their tickets. Only move the event into In play once you want to stop ticket purchases and set up the match as per step 5. Once the match is complete, you can move the event into Complete stage.
