Group or team balances are usually the responsibility of the group leader or team captain. They get to control the account that includes paying in money from their personal balance, requesting money from group members or paying money out to group members.
However, sometimes, the money earned into a group account (via session or match attendance fees) belongs to the club. In which case the group or team leader may be deemed to have less "ownership" of the funds. Here are the ways by which the club can better take control of the group's account.
Any club official can access set-up details for all group or team accounts by choosing the relevant event from the Teams or Groups tab under the menu option Hosted events. From there you can choose any team to review and change some details. This includes two key options:
- Only allow club officials to refund group funds back to members. Select this option if you want to restrict the ability to pay out group funds to members to club officials only. If the group or team leader is already a club official then they'll continue to be able to do this. Otherwise there will be no "Refund" option available to the group or team leader. Remember that a club official does not have to be the group or team leader to do this (or even be a member of the group). All club officials can access all groups and teams from the Groups or Teams main menu options.
- Automatically absorb group funds on a daily basis back to the club. Select this option if you want the system to automatically take any balance existing in the group or team by the end of the day as income to the club. If you wish to do this more periodically you can still do so manually by selecting the Absorb option at the top of the group balance and transaction window (accessed from the blue Balance button)
Finally, group leaders or team captains can request members to pay funds into the group via the Request feature. What they cannot do is unilaterally take money from group members without the group member's explicit action. However, for club officials only, there is a Payments feature that does exactly this. Instead of requesting a payment from one or more members, this feature immediately transfers a payment from members without requiring their acceptance. This capability is only given to club officials (who may or may not be the group leader). Club officials are deemed to have wide powers on the system including the ability to adjust or affect member's balances directly.
