How can I make a permanent change to the court booking schedule?

Clearly this is a big and impactful change for the club to make. Fortunately it is quite possible to migrate from one schedule to another with ManageMyMatch, but it is something that should be planned for well in advance with relevant communication to the members, depending on extent of the change.

If you are looking to tweak the start and end times of just a very few court slots, then there is less to do or plan for. So long as no slots are taken away or added, then you can achieve this relatively simply by going to the Court schedule tab in Manage courts. There you need to Check to allow changes to this club's court configuration (within the big red warning panel) and select an increment by which you intend to tweak the start or end times. Then click on the blue up (make the time earlier) or down (make the time later) buttons to change the time. If this time impacts any bookings you'll be warned. Existing bookings for the slots affected will simply change to apply to the new time & duration of the slots changed. Any change you make to a court schedule takes immediate effect.

You can also add slots either at the start of the day or at the end of the day. Members may not be able to book in slots you add because their booking rights have most likely been set based on court sets applied to their membership - and those court sets will not reflect the new slots you add. So you will need to update the court sets as required and, possibly, re-apply them to members dependent on those court sets.

You can also add a new court without any real impact. As above for new slots, however, your new court and its booking slots will not be part of any court set so you may well need to reflect the court as appropriate in your court sets.

Removing a court is also possible. Doing so on one you just recently added or is otherwise unused is fine. But removing a court that has been in use up until now is a bigger deal. Best advice is to avoid doing this as far as possible. But if you really need to do  this you can, and ManageMyMatch will give you appropriate warnings as to what the impact of doing so is.

So, apart from the above scenarios, let's take an example where you wish to change your number 1 court from 45 minute slots to 60 minute slots. This is a big change and you should think of the following:

• Decide on a date well in advance (at least a day beyond the member booking horizon) and warn your membership
• Set up a new court in ManageMyMatch with the new Schedule (Court schedule tab in Manage courts). Maybe call it "1-hourly" for now.
• Add a time schedule in the view(s) where this court is present (Views tab in Manage courts)
  • Select the view
  • press the green "Add a new time section" button and...
    • Set the the future date on which the change is to take effect
    • Select the courts to show in the view making sure you do not select the court you are changing from and you do select the new court schedule you just set up
• Amend or add any court sets that should reflect the ability to book at certain times on your new court schedule (Use the Court sets tab in Manage courts)
• If you've created new court sets, you may want to apply them as appropriate to some of your membership categories and products (In the Products tab of Manage clubs)
• You may wish to re-apply changes to your products in respect of these court sets to existing members - do so in the Usage section under the Court set tab in Manage courts)
• Check that you had no block bookings in the original court beyond the date of the change. If you have, you can do one of two things:
  • Manually rebook them as appropriate in the new court schedule
  • Make a new Space and add both the old and new schedules into that space - that way original bookings will automatically book out in the new schedule. After the weeks have past and the old court no longer has any real bookings you could remove this arrangement (take the courts out of the Space)

Essentially, what the above is achieving is the creation of a new schedule, setting it to be visible/bookable from a certain date and ensuring your members have rights and access to the new schedule.
