Introduction
To manage your sessions for squad (group) coaching you will first need to have set up a group to host your clients who you expect to participate - see this article for details.
Having selected your group in My groups, you'll see at least 3 tabs:
- Group - details of your group and your client list
- Sessions - lists up-coming sessions. You can change or add new sessions in here
- Bookings - Quick view of all past and future bookings
Managing squad sessions involves two main things:
- Scheduling - booking each session
- Engagement - tracking client take-up
Scheduling
Preferably, you'll want ManageMyMatch to book your sessions automatically. So long as the club has set up your overall schedule as you should have discussed with them, this is easy - click the Details button and tick the Automatically create regular sessions prompt.
ManageMyMatch will then always book your sessions just beyond the private member booking horizon. This gives the greatest probability that the courts are free at that time. If an automatic booking fails due to courts not being free you'll be notified so you can take action.
In normal circumstances this is all you need to do to ensure your sessions are booked and scheduled. If, for any reason, you want to pause your sessions, simply untick this option.
But you can also manually book in sessions within the Sessions tab. Having selected the Sessions tab you'll see an Add a new session button - click that and you'll get the chance to set the date of a new session. By default, each session you create assumes the fee and participant numbers as set in the details for your group. But you can change this for any one particular session if necessary.
Also, in this tab, you'll see a list of all the up-coming sessions. You can cancel any one of these or you can review and change the details of any session. Click the Details button alongside the relevant session and you'll get to see and change the fee and participant limit. You'll also be able to cancel the bookings and rebook the session for another date.
Engagement
Your clients can also see your coaching group in their My groups. But they are very much restricted on what the can do - for example they can't change the details of the group or add/remove other people. They can nominate themselves into the group and take themselves out again. They don't get any visibility on the groups finances though they can transfer money from their personal club account into the groups account. They can't create or change sessions, but they can see (in the Sessions tab) what sessions are upcoming and they can join each and any session listed (or back out of a session).
For each session, those that have elected to attend are listed. The list can consist of two parts: On a first-come-first-serve basis, those that have joined before the maximum allowed has been reached are listed as green entries. Thereafter, people are listed in red as "reserves". Only those listed in green are assumed to be in attendance and thus will be charged.
As the coach, you can set an order to the participants should this be relevant, even to the extent of promoting a reserve into the confirmed list. You can also nominate clients yourself and remove them from the list - i.e. you have complete control over who is participating.
Your clients do not necessarily have to go to this page in ManageMyMatch to indicate their participation. They are also prompted on their home page within the Things that require my early attention section to join into the next pending session. So long as they are aware of your regular sessions they just need to login into ManageMyMatch and click one "opt in" button.
Every client must at least do this to indicate their participation - though you and your client can also set an option to automatically be included for every new session created. In order to encourage or remind your clients to do this, you can message your group. Under the Group tab there is a speech icon to "Message the whole group" where you could, for example, say something like "Don't forget to sign up to this week's cardio session on your home page in MMM".
